Property and Real Estate

Property is one of the most AI-active sectors in Australia, but most agencies are using it for writing and replies, not yet for the workflows where the real time is lost. That gap is the opportunity.

69%of property services businesses say they use AI, the highest of any industry (NAB, 2025).[1]
49%of agencies use AI for everyday communications (Reapit survey of 147 agencies).[2]
30%use AI for prospecting, so this one is still early.[2]

What’s typically painful. Property managers carry big portfolios and are swamped by inbound email, tenant and owner messages, maintenance coordination and compliance-driven inspections. Sales agents lose hours on listing copy and follow-ups.

Established

Businesses like yours are already doing this.

Listing descriptions and marketing copy

Established
The everyday problem

Writing descriptions, posts and ads for every listing takes agent and admin time.

What the AI does

Drafts listing copy and campaign posts from the property’s features. The agent edits for accuracy.

What the evidence says
Survey data

48% of 147 agencies use AI for marketing tasks such as property descriptions. No verified time-saving figure.[2]

Drafting replies to clients, tenants and owners

Established
The everyday problem

Repetitive emails, SMS and enquiries fill the day.

What the AI does

Reads the conversation and drafts a reply for a person to review. Chatbots can handle first-line enquiries.

What the evidence says
Survey data

49% of agencies automate everyday communications. No verified time-saving figure.[2]

Maintenance requests, from intake to tradie

Established
The everyday problem

Requests arrive through many channels and need triage, quotes, owner approval and booking, often after hours.

What the AI does

Tenants submit photos or video, and the system sorts urgency, routes to approved trades and keeps everyone updated.

What the evidence says
Vendor claim

Tasks “up to 70% quicker” (vendor, 2022). The vendor names several major franchise groups as customers.[3]

Emerging

Early adopters are starting. Worth planning for.

Lead follow-up and prospecting

Emerging
The everyday problem

Leads go cold after open homes and enquiries, and call lists take time to build.

What the AI does

Drafts personalised follow-ups, spots likely sellers from attendee lists and produces call lists.

What the evidence says
Survey data

30% of agencies use AI for prospecting. Mostly examples so far, not measured results.[2]

Bills and invoices into the ledger

Emerging
The everyday problem

Contractor and utility invoices arrive in all formats and are keyed in by hand.

What the AI does

Reads scanned, emailed or handwritten invoices and prepares them for approval.

What the evidence says
No verified figure

One vendor feature. Across all industries, data entry and document processing is the most common AI use (27%).[4][6]

Routine and exit inspection reports

Emerging
The everyday problem

Photo sets and written reports take hours and often cause disputes.

What the AI does

Compares condition across photos and drafts the report for the manager to check.

What the evidence says
Vendor claim

“Up to 50%” of inspection time (vendor, 2025). No adoption data yet.[5]

Before you start

Protect tenant and owner data. The Privacy Commissioner’s guidance says personal information put into AI tools is still covered by the Privacy Act, and advises against entering it into public AI tools.[7] Agencies hold IDs, financial details and rental history, so this matters.

Check state rules. Tenancy law is state-based, so AI-drafted notices and replies must be accurate for your state.

Keep a person in the loop for anything that affects a tenant’s or owner’s rights or money.
